Google Meet

Google Meet is a tool that does what its name suggests – it creates a virtual ‘meeting space’ for teachers and classrooms.

What can I do with it? 

  • Simple and easy integration with Google Classroom
  • Host controls including mute all, mute chat and mute videos to streamline your meeting experience
  • Create directly from Google Classroom, Google Calendar, or the Meet interface
  • Share your screen or create a Jamboard directly within Meet to inspire collaboration

Before using Google Meet, ensure you have read and follow the guidelines to support schools using live video with students

 

Getting started with Google Meet

You can access Google Meet directly from your staff portal. You can also create a Meet within Google Classroom and Google Calendar. Discover how by watching this Top Tech Tip!

Starting a Google Meet from your Staff Portal

Step 1

Use a modern browser in windows, MacOS or Linux.

Log in to your DoE Staff Portal and click G Suite (Google Apps for Education) in My Essentials.

Step 2

Click on Hangouts Meet.

Step 3

Click on New Meeting.

Step 4

Select from 'Create a meeting for later', 'Start an instant meeting' or 'Schedule in Google Calendar'.

Step 5

Copy the link for sending through to your students.

Starting a Google Meet from Google Classroom

Step 1

In Google Classroom, navigate to the top banner and click on Generate Meet link.

Step 2

Click on Generate Meet link.

Step 3

Toggle the button to make link visible to students.

Click Save, you may wish to copy the link to share.

Note:

Students will be able to see the meeting link at all times but will not be able  to join the meeting until the teacher is present.

Starting a Google Meet from Google Calendar

Step 1

Use a modern browser in Windows, MacOS or Linux.

Log in to your DoE Staff Portal and click G Suite (Google Apps for Education) in My Essentials.

Step 2

Using Google Calendar, navigate to the preferred date and/or weeek for your Google Meet.

Step 3

Select your preferred meeting time by clicking in an empty time slot.

Click Add Google Meet video conferencing to generate a meeting link.

Click Save.

Step 4

Copy Google Meet link for sharing (if required) or invite attendees by email.

10. Toggle off Quick Access to stop students from rejoining the Meet after it has ended.

Joining a Google Meet - student's perspective

Step 1

Use a modern browser in Windows, MacOS or Linux.

Log in to your DoE Student Portal and click G Suite (Google Apps for Education) in My Essentials.

Step 2

Using Google Calendar, navigate to the preferred date and/or weeek for your Google Meet.

Step 3

Click Join now to join an existing meeting hosted by your teacher.

1. Can you record a Google Meet?

Yes, with our Google Workspace for Education PLUS plan provided to all staff, you can record your Google Meeting. 

2. Are breakout rooms or polls available in Google Meet?

Yes, breakout rooms and polls are available in the department's version of Google Meet.

3. Are captions available in Google Meet?

Yes, simply click the 'CC' button when entering the meeting, each person will need to do this individually on their machine. 

4. Are students/meeting participants placed in a waiting room until the teacher or host is present?

Yes, if you have turned 'Quick Access' off, participants will be placed in a waiting room. This is set automatically for teachers using their NSW Department of Education account. 

5. Can teachers or hosts chat with individual students or attendees?

1:1 chat with students is not enabled in our Google Meet services.

6. Can I get an attendee report or meeting transcript?

Yes, these are available in the department's version of Google Meet.

7. Can students participate in a Google Meet?

Yes, since late in 2021 students are able to connect to a Google Meet.
