Google Meet empowers educators to connect with parents and carers efficiently. In this tutorial, you will learn how to set up and manage your Google Meet appointments saving you time in the process. Please note that parents and carers do not need a Google account in order to access a Google Meet.
To begin with, you will need to log into your Google account via the portal and click on your Google Calendar. From here, click the Create button on the top left-hand side corner and choose Appointment schedule. Here, you'll need to give your appointment schedule a title and choose the duration of your appointment. By default, it will allow you to set up a weekly repeating appointment schedule, which could be handy if you hold office hours and want a regular time when parents, carers, or staff can book an appointment with you.
If you're after an appointment schedule at a particular point in time, then click the down arrow next to repeats weekly and choose Does not repeat. Here, you can choose the applicable days and times, and you can add another block of time on that day by clicking the plus button or click add a date to add another day entirely.
Click the down arrow on scheduling window to determine when a booking can be made. This can be helpful to ensure a parent or carer books in with adequate time for you to prepare. And you can add in buffer time in between appointments too by clicking the down arrow on booked appointment settings.
By default, it is linked to your Google Calendar, and these bookings will also flow over into your Outlook Calendar once you receive a booking. You can also add another teacher or staff member by clicking on the down arrow next to co-hosts. Click the blue Next button to continue. Now, click on the Select how and where to meet option and choose Google Meet or the applicable option if you wish these appointments are to take place in person. You can add in the description and any details or preparations that you need to take place here.
In the booking form section, first name, last name, and email is the default, and you are able to add any other details you wish parents and carers to add upon booking an appointment with you.
Now, click the down arrow for booking confirmations and reminders. This is to determine how those who book with you will be reminded. Hit save.
From here, you can open the bookings page and confirm all the details. You can click on the top left-hand corner to see what others see also.
And lastly, click the blue Share button on the top right-hand corner to get the link that will be shared onto parents and carers through your school's preferred platform or method.
Each time a parent or carer books in an appointment with you, you will receive an email and calendar invite with a Google Meet link to join the meeting. Just click the link, enable camera and microphone, and click join the meeting.
All functions within the meeting are the same as those detailed in the Google Meet for online class meetings tutorial video.
Another option is to go directly to the Google Meet app via the Google landing page and choose from the three options, Create a meeting for later, which will give you a link that you can share on, Start an instant meeting, which you will join and then can invite others to that meeting from there, and lastly, Schedule from Google Calendar where you'll need to click on the time you wish to have the meeting, you generate the Google Meet link, and share out from there.
You can of course go directly to your Google Calendar from the Google landing page and follow the same steps as with the final option before.
