Hi there. In this video, we will look at Teams calendar and how you can use it to create online meetings.

On the left-hand side of the Teams window, click the calendar icon. This will display the calendar that is linked to your calendar in your email. Anything that is updated in Teams calendar will be reflected in your Outlook calendar and vice versa. In the top right-hand corner of the window, you can simply click the new meeting plus icon or choose the dropdown arrow to explore some more options, which include webinar, class, and lecture. Webinar meetings will be detailed in a separate video exploring the features and how to set it up for your event.

When clicking new meeting or, from the dropdown menu, schedule meeting, everyone who is in the meeting has the exact same permissions. Participants can also mute one another. The class option creates an online meeting where the teacher is an organiser and can begin the lesson. Students are attendees and remain in a lobby, waiting for the teacher to let them in. Students also only have access to the chat during the online lesson itself. The meeting organiser can add other teachers to be co-organisers, meaning they have the same permissions just in case the organiser of the online lesson can't attend. A lecture meeting is similar to a class meeting, but the option for the chats to remain available after the meeting is turned on.

In this example, we will create a class meeting. Give your lesson a name, making sure it is something that is recognisable to you and the other teachers. In this section, add required attendees. Type in any other teachers you wish to include in the meeting. Students do not need to be entered here. Adjust the date and time of the lesson. You can choose to post the meeting link into a Teams channel. This will help those who haven't been added to the meeting join in.

On the right-hand side of the screen, you have a number of options for the meeting. Click More options to view all options for the meeting. Here, you can choose co-organisers or other teachers to help run the online lesson, whether to allow camera and microphone for attendees, recording, chat, and reactions. It is important to add any co-organisers now to help run the meeting. In the dropdown menu next to the heading, choose co-organisers. Select your co-organisers.

On the right-hand side of the screen, there is a dropdown menu asking who can bypass the lobby. The lobby is a place for attendees to wait while presenters are getting ready for the meeting. For class meetings, it is best to leave this as only organisers and co-organisers, as that means students will remain in the lobby waiting for their teacher to let them in.

Once you have modified your settings, click Save. In the top right-hand corner of the screen, click Send to create the meeting and send an invitation to those who were invited. Students wouldn't have been invited at this point in time. For students or others to attend the meeting, they can either go to the post in the Team channel or the teacher can copy a link to the meeting and send it using an alternate communication method. To copy the link, go to the calendar entry for the meeting and single click the tile. Click the Copy button to copy the link, and then paste it in a handy location.

The class meeting is now ready to begin. If students have clicked the link, it's okay. They will remain in the lobby. For a teacher to begin the meeting, go to the meeting link either in the team channel, if posted, or in the Teams calendar. Click Join. Adjust any camera and audio settings then click Join now.

As students join the meeting, you will notice a notification above People. Click on the People button to view all those who are waiting in the lobby. It's always a good idea to review who is waiting.

Once you are ready, click on the green tick next to each student's name or simply click Admit all. All participants will now enter the meeting room. At the end of the meeting, make sure you click the dropdown button next to the Leave button and select End meeting. Click End to end the meeting for everyone so no one is left unattended in the online meeting space.
