In this video, you'll learn how to efficiently and securely place your documents and photos into the correct folder in the cloud using the Microsoft OneDrive app.

Before we get started, you must first determine where you want your files saved. Your school might already have a shared space designated to your media files. It's best to have this space set up before you start adding your files. If you aren't sure where the best place is to save your files for your context, ask your principal or whoever is responsible for this decision. Photos of students should reside in a shared location, not a personal drive where possible.

Firstly, download the Microsoft OneDrive app. I am using an iPad for this demonstration, but the OneDrive app is also available on iPhones and Android devices. You might just have a slightly different interface than my iPad. Sign in using your @det.nsw.edu.au email address. This will give you quick access to your personal OneDrive files and your shared themes or SharePoint files.

You'll need to find the folder you wish to save your files in. You'll see some options along the top of the app. The My Files tab holds your personal OneDrive files. The Libraries tab holds your teams and SharePoint files. If you can't see the shared space you're looking for, you will notice the search bar at the bottom of the app. Navigate to the space you wish to store your images. You may wish to create a new folder using the plus icon at the bottom of the screen, and then selecting Folder and naming your folder.

I'll first demonstrate how to scan a document. Later, we will cover photos. Select the plus icon and select Scan. Make sure you give permission for the app to use your camera if it pops up here. You will need to choose the type of scan you want. For me, this menu is to the right, but depending on your device, you may find it in a different location. By scrolling through the tabs, you will notice that you can choose to scan a document, a whiteboard, a business card, or a photo. Hit the white circle to take the shot.

Depending on the type of scan you choose, you may see different options here. You may be given the option to resize your scan or to add another page using the camera and plus icon. You will be given a few editing options depending on the file type as well. And there may be some options hidden behind a down arrow icon. You may also be given the option to add filters, reorder your scans, and add more. When you are done, hit Finish and then Rename if you would like. Finally, hit Save. That's it.

Now let's look at uploading photos. The quickest way to upload multiple photos is directly from your device's storage. Once you have navigated to your desired location, hit the blue plus icon and select Upload and then Photos and Videos. Allow access to the desired images if you are requested here. Tap the images you wish to upload, and a blue tick should appear in the bottom right corner. Select Add in the top right corner, and you will see the uploading progress at the bottom of the screen. Stay in the app until the upload is complete. Once the files have uploaded, delete them from any personal devices.

This uploading process will save you time, ensure your protection, and provide easy access to your files for both you and your collaborators.
