Joe:

Hey everyone. Okie dokes. Stu, I've got some amazing new Chromebooks that I've got set up charged. They're not set up yet. They're charged. What do I do next?

Stu:

Okay. So what we're wanting you to do is take these brand new Chromebooks and enrol them in the department's Google domain and what the advantage of that is, is that they're going to be all ready for any student or any staff member in our school to sign on using the DoE Google account and be connected to all those great things that are up in the cloud.

Joe:

This sounds amazing. We've got to make it so.

Stu:

It's not difficult at all. So we're going to go through the steps right now and I'm going to get you to do them.

Joe:

Okay. All right. Now, what do I need to be aware of first, before I even pressed the go button?

Stu:

You need to be in a room that's got a Aruba wifi, firstly. So it's got to be DET NSW, you're connecting to that WiFi and what we're going to do is run a number of steps, firstly, to connect to that WiFi. And then secondly, to enrol the device.

Joe:

Sounds good.

Stu:

Once we've done that, it's going to reboot and we're ready then to pass it on to anybody to sign on and they can use those devices. It's great.

Joe:

Wow! Sounds super. All right. So let's do stage one connection to WiFi.

Stu:

Yeah. And there's the button says on the screen, "Let's go".

Joe:

There we go.

Stu:

So the first thing it wants us to do is connect to a wireless network. Now we're here sitting in the corporate office, that Information Technology Directorate at T4L studios. And we've got a large number of different WiFis that we can connect to.

The one that we want to connect to is usually called DET NSW, which is what we want in a school. But what we're going to do is connect to the one called DOE NSW Edge, Eight Central School. So this is the way that we mimic an internet@edge service in a school.

Joe:

Very good. So out there connected DET NSW and follow the instructions.

Stu:

Correct.

Joe:

And you'll be right to go. Okay. So what do we do? It says EAP method. What should it be?

Stu:

The EAP method should be not LEAP, P E A P. So please change it to P E A P

Joe:

I have done it in my dropdown menu.

Stu:

Good. The next one says what?

Joe:

It says, EAP phase two authentication.

Stu:

Okay. That needs to be automatic.

Joe:

Automatic. It's ready.

Stu:

So leave it at that. That's good.

Joe:

Okay, what's next?

Stu:

Okay. The next one is about checking for the -

Joe:

The CA certificate. What do I need to do with that one?

Stu:

What we do not want to do is tell it to check, so choose the option that says do not check.

Joe:

Do you want me to enter my email address next? Is that my identity?

Stu:

Yes, so what we're doing now is exactly the same way as you would connect the BYOD at your school to connect to the Aruba WiFi. You'll be joining in with your email address.

Now, some people might want to use the school's WiFi kiosk account or the WiFi, a generic account. If you don't know that, just put your own address in that's fine. It doesn't really matter because once it's enrolled, it will automatically revert for the WiFi connection using the school's generic WiFi account.

Joe:

There we go. So I've answered in my username and my password.

Stu:

So that username just remember it's @detnsw.edu.au.

Joe:

Oh, my full email address? Okay.

Stu:

Later on, when we go to enrol, we're going to be using your Google address, which is slightly different and we'll talk about that as we get to it.

Joe:

Now I've got two check boxes. Save, I did see in password and allow other users of this device to use this network.

I definitely want that bottom one.

Stu:

You can leave both of them on. It doesn't matter. Once it's enrolled, you can revert to the WiFi generic account of the school.

Joe:

For all the settings. I like it. So press connect?

Stu:

Just go connect. Yep.

Joe:

Here we go. All right. It's having a go.

Stu:

Connected.

Joe:

Green!

Stu:

So you've joined it up. That's great. Click on next from there.

Joe:

Okay.

Stu:

Now in here, it will show us the Google OS terms.

Now it might say the site can't be reached and that is because we haven't configured the proxy settings on the device. So what we need to do is click down the bottom there, where the time is and you'll find the wifi. And then if you click on the wifi, yes, you'll see. Oops, not the turn it off. You need to expand that window up to make it bigger.

Joe:

Stu I'm looking like such a beginner here.

Stu:

That's okay.

Joe:

Here we go.

Stu:

And then you need to go onto the WiFi, pull it down and then at the top, there's a little gear. Click on that gear. And the one that we want is choosing the option for web proxy auto discovery.

So that's really important because what we're telling the device to do is to grab that normal pack file that we have to grab that from the school's DHCP server or ET for all server. And that will automatically give you the address and you'll see that it's populated that automatically there on the screen.

Joe:

Well done Stu, I'm loving this and I must tell everyone out there that we are doing is almost the first time ourselves and you're getting all these steps on beautifully.

We're having the same problems that you might be having out there and we're, solutionising them on that. Here we go.

Stu:

You can click on that little X on the top.

Joe:

Now Stu I can see there's terms and conditions now.

Stu:

So the idea is you're meant to read all of that content and we've done that beforehand so we're not going to do that this point and so we accept accepted. Continue.

Joe:

There we go.

Stu:

And the next thing that we're going to do, it's going to do a little check for updates and do some different things. It will ask you to sign in, but we don't want to sign in at this point. What we want to do is enrol this device into the departments domain.

Joe:

Don't sign in, not even with the departmental Google account.

Stu:

Do not sign in. If you sign in to the Chromebook, then you'll need to go through another process to power wash that device before you can try and enrol it again.

You've got the instructions at the website for how to do that, if you accidentally signed in at this point, but what we're wanting to do at this point is hit the button, to choose the option to do an enterprise enrollment.

Joe:

How do I do that?

Stu:

What is that button? Control-Alt-E.

Joe:

Control-Alt-E. Okay, here we go. The magic's going to happen.

Stu:

What that's now done, is changed the screen now says enterprise enrollment and it's asking for a username.

Now, any staff member in the school is able to do an enrollment. You don't have to be a member of any special A M U group, but the really important thing is that you're not signing in with your normal email address. You must sign in with your Google account, your department Google account.

So every department Google account ends in @education.nsw.gov.au.

So Joe's put in his department Google account address and go next. And what it's going to do is have something we're all very familiar with, asking us to sign in with a Google workspace account, which is the department's account.

Don't choose the option that says personal, choose the department one.

Joe:

Done. Here we go. Magic's happening.

Oh my Gosh!

Stu:

You'll see something very familiar normal department log on screen.

Joe:

Okay. Here I go, I'm getting excited.

Stu:

In the normal log-on screen.

Joe:

There we go.

Stu:

At this screen, you can either type in the full @det.nsw.edu.au, but some people don't realise you can actually just put your first thought last thing, like you.

Joe:

There we go, okay,

Stu:

Hit the login button, as long as you've got your username and password, correct. It's going to start the process to enrol this particular device, this serial number into the department Google domain.

Joe:

Amazing, and does this process take a long time? Should I go and have a coffee now?

Stu:

It's actually quite quick. So it's going to go through enrolling the device, a few different steps. They're all happening in the background, but it's about a minute or so. And what we'll find at the end is that the device is ready for you to log on using your department credentials and start accessing everything in the car.

Joe:

Seriously? It's as simple as that?

Stu:

Simple as that.

Joe:

So we've made sure we've powered up, connected to WiFi and then we have enrolled the device?

Stu:

Correct.

Joe:

Okay.

Stu:

This is now asking for some optional asset information. That's where you can put in things like your school code and maybe a device number. It's actually not important, you can skip that step if you want.

Joe:

And you record these kinds of details about this device in your school's asset register.

Stu:

That's right.

Joe:

Okay. So I'm just going to press next.

Stu:

But in terms of Chromebooks in the departments. The main, the key thing that we need to know is the serial number of the device.

So if ever you've got any questions or, or issues with the device, you need to quote that serial number and then we can check it in the backend, in the Google admin domain.

Joe:

Great idea. It could be on the bottom of your device, somewhere like that, where you can find it.

Okay. So do I press next again?

Stu:

Click next or you can skip that even in this point, if you didn't fill it in. Then you get a really nice screen that says you're enrolled successfully and done, and the next thing that will happen is asking you to sign in. So then you click next.

At this point, you could just simply turn it off, shut down the device and give it off to anybody in the school to use it. It could be a student, it could be a staff member. It doesn't matter who logs on the first time... They will go on and they will sign in and there'll be connected to their department Google account, accessing all of their G Suite content, all of their mail, everything else that they normally do with Google at the school. And off you go,

Joe:

Can I press log in?

Stu:

Yes, please.

Joe:

Okay, here we go. Magic.

Stu:

Sign-in service is hosted by the Department of Education -

Joe:

And I'm on -

Stu:

Going through first-time set up and it's ready to go.

Now, if you've done some things on another Chromebook before, and maybe you've had extensions added or apps added, all those things will suddenly magically appear because they follow your Google account.

Joe:

That's Amazing.

Stu:

That's really great. So now you're accessed, you're signed in and you've got access to Google Chrome [crosstalk 00:09:18] -

Joe:

All of my apps, everything ready to go. This is fantastic. So, and if I sign out anybody who opens this computer can sign in with their credentials,

Stu:

Down down the bottom of the screen, there's a sign out option. So if you're finished with that device, say, the bells rung, and you need to put the Chromebook back in the trolley. You click, sign out, sign out now, you shut it down. And you would put it in the trolley. The next person that picks it up. First thing that they will see is sign-in.

So these are really easily shareable devices. It's a great thing, super quick to sign on and use, ready to go.

Joe:

And you know what people? We did not use any fast-forward in this video. It was real-time.

Stu:

Absolutely. The other thing I would like to show you as well, these things are also NAPLAN ready. So when you have those NAPLAN, lockdown, browser tests down the bottom, don't sign in because you don't want to be signed in when you're doing these in NAPLAN tests. Down the bottom in the apps menu, you'll see that there's a Nesa lockdown browser. There's a Janus and Replay lockdown browser, and there's the NAPLAN lockdown browser.

So all three of those are available to you depending on the test. You're about to run using the Chromebooks.

Joe:

Wow. That's amazing. Not even a need to sign in. Fantastic Stu.

This has been amazing. What a power session I've learnt how to connect my Chromebooks to wifi, how to enrol them into the department's domain, and then how to log in.

Stu:

And on the Chromebook web pages, a whole lot of other information frequently asked questions. Other situations that you might be in, maybe you don't have new Chromebooks, you might have older ones that need to be re-enrolled or that were set up as a unmanaged devices and you want to now enrol them. So a lot of information there that will help you with that.

Joe:
