This is the transcript of the "Communicating in Teams" video.
Speaker 1
Hi there. In this video, we'll be looking at two methods that you can use to communicate to others using Teams, Chat and Channel Posts, or Conversations. Let's compare both options and how you would use them. We'll start with Teams Channel Conversations. Channels within a team are dedicated to a specific topic, faculty stage, or project. Each channel has a posts tab where conversations between members of that channel can occur. Text, audio, and video conversations are visible to the whole team. Members can create posts and announcements to the channel. Conversations will be used to discuss teaching and learning programmes, school administration tasks, and online whole class announcements. While Channel Conversations are public, Teams Chats are just between you and another person or group of people. Chat messages have similar features to Conversations like attaching files and sharing links. Chats are used to have informal conversations with individuals or small groups where an entire team doesn't need to be notified.
To create a post, navigate to a channel, and at the bottom of the screen, click, start a post. Simply add a heading and begin typing your message. There are a range of formatting tools available to use when creating your post. If you want to notify specific people, you can use @mentions and type their names. Along the bottom of the post, there are other handy options available, and these include attaching files, emojis, gifs, adding a form to quickly collect information from people in a team, as well as giving praise. Click the post type button next to the purple post button to change your post into an announcement. Here, you can type in a headline for your announcement. Click the sliders inside the headline box to change the background colour. At the top of the announcement, click the sliders to review options as to who can reply to the post, or if you'd like the post made available in multiple channels.
When you are ready, click post for those in the channel to be able to see your message. Others can reply to your message now by typing in the reply section and click the send button, or simply hit enter. If they need more formatting options, they can click the format icon in the bottom left-hand corner of the reply window. You can begin or schedule a meeting within a channel. In the top right-hand corner of the screen, click the drop-down arrow next to the camera and choose either meet now or schedule. Further information on meetings is detailed in the video on calendar meetings
To use Teams Chat, on the left-hand side of the screen, click chat. To begin a new chat, click the square with the pencil icon at the top of the screen near the heading, Chat. Type in someone's name that you want to communicate with. When you find them, click on their name to add them to the chat. You can choose to add more people to your chat by continuing to type in their names. At the bottom of the screen, click the box where it says, type your message, to begin the conversation. Click the format icon underneath the message to include additional formatting tools, then press enter or click the send button to send your message.
Other features in chat are similar to those that are in channel conversations. You can leave a one-minute audio or video message in chat. In the bottom right-hand corner of the screen, click the camera icon next to the send button. Add a backdrop or select a screen to record, then click the record button. Once you have finished your message, click review. When you're ready, click send. If you have a small group that you know you will communicate with frequently, you can modify the display name next to the names of those in the chat. Click the pencil icon and give the chat a friendly name. To begin a video or audio call with all the people in your chat, click the drop-down arrow in the top right-hand corner of the screen next to the phone icon and click video call.
